APhA Offier Responsibilities


Hi Everyone,

APhA-ASP elections will be on Monday, February 2nd at 11 am in HS107.
Below is the list of positions (and responsibilities) you can run for.
In order to run for a position you must be an APhA member.
Applications will be in Dean’s Office and the deadline to submit them is Thursday 1/29/09 in the Dean’s Office or to any of the officers.

APhA OFFICER POSITIONS

President-elect (MUST BE A 3rd YEAR)
-is responsible for internal affairs.
-closely assists president and other officers in carrying out all events.
-prepares house warming to welcome old and new members in the beginning of the Fall and Spring semesters.
-reserves rooms and media for chapter meetings.
-orders food and drinks, and make any other preparations for meetings.
-orders prizes for active members, patient counseling competition and other events.
-is required to attend Mid-year Regional Meeting (mid-Oct, 2009), 2009 APhA Annual Meeting & Exposition (April 3-6 San Antonio), and Summer Leadership Institute in Washington DC (July, 2009).
-Will be President sometime in the Spring of 2010

VP of Professional Affairs (3 positions)
. organizes and implements health care programs to promote pharmacy professionalism, such as
. promote American Pharmacists Month in Oct
. Writes and Organizes the:
- Operation Immunization report (due by Jan.5th to HQ)
-Operation Diabetes (due by Jan.5th)
-Heartburn Awareness (report to HQ by Jan.5th)
. Plans community events focused on the disease states mentioned above or others such as Hypertension, Hyperlipidemia, Smoking Cessation, Poison Control.
*Note each VP of Professional Affairs should focus on one main project and can work with other officers and or develop committees that can help implement the project.
There are a total of 3 VP of Professional Affairs
1) VP for Operation Immunization
2) VP for Operation Diabetes
3) VP for Heartburn Awareness

VP of IPSF (International Pharmaceutical Students Federation)
. represents student pharmacists worldwide.
. gathers information and events in IPSF by visiting the IPSF website
at http://www.blogger.com/Documents%20and%20Settings/j-horvath/Local%20Settings/Temporary%20Internet%20Files/Content.IE5/01-08/www.ipsf.org.
-Organizes WORLD AIDS DAY fundraiser and community event.
. promotes professional activities including the Neema Project, Tobacco
Alert(Smoking Cessation), Poison Control, Brook Appeal.
. promotes International Student Exchange Program (summer student exchange application due Dec 15th).
. posts stories that students have experienced with the IPSF program to inspire students to explore their life experience.

VP of Academics
. encourages scholarship application in the beginning of Fall semester.
. posts new FDA approved drug or recalled drug to students (ex: information of recent headline from pharmacist.com-Focus).
. gathers study material for distribution to members.
. works with Rho Chi to organize tutoring hours for officers and members.
. contacts company, hospital, or other specialists to provide career related seminars to students
. organizes annual patient counseling competition
. posts APhA foundation student scholarship information (application due Dec 1st).
. posts APhA Career Opportunities, such as internship and externship at HQ (application due Jan 1st).

VP of Public Relations
. works with the president to handle external affair.
. looks for sources of funding and sponsorship to bring more benefits to members.
. writes thank you letters to speakers and sponsors.
. creates and put up posters for all chapter events.
. makes class announcements to promote chapter events.
. prepares press release of major events to Doses & Notices, campus newspaper, and Student Pharmacists magazine.

VP of Membership
. main coordinator of Fall Membership Campaign.
. prepares and submits membership applications by last week of September.
. continually recruits members throughout the year.
. recruits new chapter officers for the academic year.
. resolves membership status problem.
. informs students of their membership benefits.
. updates members in e-mail contact and e-mail members about all chapter events.
. documents Member Participation Point System: records and maintains attendee list of all events to award the active members at the end of the academic year.

Fundraising Coordinator (2 positions)
. Coordinator for fundraising projects. The goal is to have at least two fund raising events in the coming year.
. collaborates with VP of Public Relations to look for funding and sponsors to ensure enough funds are available to support all chapter events.

Treasurer
. prepares budget kit to SGA in the beginning of the Fall semester.
. works with the Chapter President to prepare a budget proposal to Dean Brown by the end of the summer.
. maintains budget balance in the SGA account, and requests account statement from student activities office after every transaction.
. follows up with SGA on chapter funding after budget kit is submitted, to ensure that the chapter is appropriately funded.
. deposits fund from sponsors to the club account.
. handles reimbursement of all expenses.
. works with the President-elect to order food and refreshments for events.

Secretary
. attends SGA meetings on the second Thursday of every month from 5-6 p.m. in M208.
. picks up mail from the SGA office in M208
. prepares meeting minutes and the write-ups are e-mailed to officers no later than 2 weeks after a meeting.
. prepares reports of all chapter events as records.
. prepares Immunization Operation, Diabetes Operation, and Heartburn Awareness reports with VP of Professional for submission before the deadline (January 1st).
. updates documentation of all activities in a binder, including event reports, materials, and pictures.
. orders necessary stationary for office use.

Spin Coordinator
- Albany Day
- Have a proposal meeting (with all APhA members) before Mid-Year and discuss proposals that they want to be presented during Mid-Year.
- Write up proposals for Mid-Year and serve as Delegate
- Before Annual meeting discuss proposals that have been voted on during Mid-Year and see what members feel about them (put this all together and express our schools view on these proposals during annual meeting).
- Sent out emails to all APhA members on important legislative issues (summarize the ones you receive from APhA because members will not read these long emails).
- Keep a record of all the legislative activities done by APhA during the year and submit summary to national!

WEBSITE COORDINATOR
- keeps the website up to date on current chapter events
- works with officers and members to post any new information on the website
- communicates with the class webmasters on our chapters upcoming events

*All officers are recommended to attend the MRM and Annual meeting; meeting expenses are sponsored based on the budget given by the college of pharmacy.
**Although each position has specific roles, all officers are required to work together for all chapter events.
